This edition belongs to Microsoft's 2021 generation of classic desktop Office, released in autumn 2021 as the installed alternative to the subscription-based Microsoft 365 apps. It contains six applications: Word for text, Excel for calculation, PowerPoint for presentations, Outlook for mail and calendar, OneNote for notes and Publisher for print layouts. Within the business line-up of that generation, Standard is the entry point, with Professional Plus 2021 positioned above it.
Microsoft designed the Standard edition for organisations that need the full set of everyday office tools but do not build or run their own databases. All applications work from the local installation, so documents are created and stored on the computer or on a network share without depending on a browser session. The feature set was fixed at release and does not grow with later updates. Training material and internal templates therefore stay accurate.
In a typical office, the working day starts in Outlook, where mail, calendar, contacts and tasks share one window. A sales assistant receives a price request, opens the calculation workbook on the team drive, adjusts the figures, copies the result into a Word quotation template and sends it back as a PDF. OneNote serves as the running notebook for meeting minutes, phone notes and project checklists, organised in searchable sections and pages.
PowerPoint comes in when results have to be presented, and charts can be taken over directly from Excel. Publisher covers the jobs that Word handles awkwardly: price lists, event flyers, simple brochures and in-house newsletters that need fixed text frames and precise image placement. The suite therefore fits administration, sales, office management and small agencies that produce their own printed material.
In Excel, the 2021 generation introduced XLOOKUP, which replaces VLOOKUP and HLOOKUP with a single function that searches in any direction and can return a defined value when nothing is found. Dynamic arrays allow one formula to spill its results into neighbouring cells, and functions such as FILTER, SORT and UNIQUE build on this, so lists can be filtered or deduplicated without helper columns or macros. The LET function assigns names to intermediate results inside a formula, which makes long calculations easier to audit.
Word, Excel and PowerPoint support OpenDocument Format 1.3, which matters when exchanging files with authorities or partners who use LibreOffice. Word offers a dark mode that can also darken the page itself, and the Line Focus view reduces the visible text to one, three or five lines for concentrated proofreading. In PowerPoint, a presentation can be recorded with narration, ink annotations and a presenter video, then exported as a video file.
Professional Plus 2021 contains the same core applications and adds Access for building and running databases, together with Teams and Skype for Business. Companies that run or build Access databases need Professional Plus, while everyone else is well served by the Standard edition. Office Standard 2021 for Mac is a separate product that includes Word, Excel, PowerPoint, Outlook and OneNote, but not Publisher. The retail Home & Business 2021 edition also lacks Publisher, so the Windows Standard edition is the smallest 2021 package that includes it.
The most important point is timing: Microsoft ends support for the entire Office 2021 family on 13 October 2026, and there is no extended support phase. The applications keep working after that date, but Microsoft no longer supplies security updates, bug fixes or technical support, which matters for compliance. Buyers who depend on continued security patches should consider Office 2024 instead. In addition, Access is not part of this edition. Power View is not available in this Excel version and features Microsoft adds to Microsoft 365 later do not arrive here.
Can I open files created with Microsoft 365 or older Office versions?
Yes, the suite uses the same Open XML formats such as DOCX, XLSX and PPTX, so documents move between versions without conversion. One exception concerns Excel workbooks that use functions introduced after 2021, for example TEXTSPLIT or VSTACK, which this Excel version cannot calculate.
Does this edition include Microsoft Access?
No, Access is reserved for Professional Plus 2021 within this generation. Existing Access databases cannot be opened or edited with the Standard edition alone.
Is the Windows edition identical to the Mac version?
No, the two are separate products with different application sets. The Mac version has no Publisher, so anyone who relies on Publisher files needs the Windows edition.
