Visio is Microsoft's dedicated diagramming application, and the 2021 release is the version that succeeded Visio 2019 as a one-time purchase. It belongs to the same generation as Office 2021 but is not included in any Office suite. Microsoft offers it in two desktop editions, Standard and Professional, and this is the larger of the two.
The Professional edition contains everything in Standard and adds the content that technical and process teams depend on: BPMN 2.0 and UML 2.5 templates, IEEE electrical notation, rule-based diagram validation and shapes that draw their values from external data sources. Its job is to document processes, systems and structures precisely enough that the drawings stay useful after the next reorganisation or infrastructure change, instead of becoming outdated pictures.
Work in Visio usually starts from a template rather than a blank page. A network administrator opens the detailed network diagram, places server, switch and firewall shapes and moves devices around while the connectors stay attached. A business analyst builds a BPMN model with pools and lanes for each department involved, then runs the validation check to catch gateways without outgoing flows or tasks that lead nowhere.
Cloud architects use the Azure and Amazon Web Services stencils added in this release to show how virtual networks, compute resources and storage connect. Developers draw class and sequence diagrams with the UML shapes, and facility managers plan scaled office layouts, including a template Microsoft introduced for spacing desks apart. Results are typically exported as PDF or image files, or placed directly in Word and PowerPoint documents.
Data linking is the function that most clearly separates this edition from a plain drawing tool. Shapes can be tied to rows in an Excel workbook, an Access database, a SharePoint list or SQL Server, and data graphics display those values as text, colours or icons on each shape. After a refresh, an equipment inventory or a status overview shows the current figures without being redrawn.
Diagram validation checks flowcharts and BPMN models against a rule set and lists every issue in a separate pane. Co-authoring lets several people edit one file at the same time when it is stored in OneDrive or SharePoint, while Information Rights Management limits who may open, print or forward a sensitive drawing. The 2021 release also added wireframe shapes for app and website layouts and a field for hexadecimal colour values, which helps when diagrams must follow a corporate design.
Visio Standard 2021 handles general business diagrams such as basic flowcharts, organisation charts, timelines and simple floor plans, which is enough for users who mainly draw and share. BPMN and UML notation, diagram validation, data-linked shapes and simultaneous editing are reserved for the Professional edition, so anyone who needs one of these should choose it. Microsoft also provides Visio through subscriptions: Visio Plan 1 works in the browser only, while Plan 2 adds a desktop app that keeps receiving new features. The 2021 Professional edition suits buyers who want a fixed, locally installed version of the full desktop application.
Because it is a fixed release, this edition receives security and quality updates but not the new stencils and features Microsoft adds to the Plan 2 desktop app. Visio for the web is a separate Microsoft 365 service and is not part of this product. Co-authoring only works for files saved in OneDrive or SharePoint, not on a local drive or a classic file share. Data linking is also one-directional: values flow from the source into the drawing, but changing shape data in Visio does not write anything back to the database.
Is Visio part of Office 2021 Professional Plus?
No. None of the Office 2021 suites include Visio, so it is always purchased separately. It installs next to Word, Excel and PowerPoint from the same generation and uses the same ribbon interface.
Can it open drawings from older Visio versions?
Yes. Visio 2021 opens and saves both the current .vsdx format and the older .vsd format used up to Visio 2010. AutoCAD drawings in DWG or DXF format can also be imported, for example as a base layer for a floor plan.
Can an organisation chart be generated from an Excel list?
