Visio is Microsoft's dedicated drawing and diagram program. It is sold separately from the Office suites and was released in the same 2019 product generation as Office 2019. Drawings are saved in the XML-based VSDX format that Microsoft introduced with Visio 2013, so files can be exchanged with newer Visio versions without conversion.

Microsoft offered two perpetual editions in this generation, and Professional is the larger one. The Standard edition covers business flowcharts, organisation charts and simple layouts. This edition adds template sets for software modelling, detailed network and rack documentation, and electrical, mechanical and process engineering. It can also link shapes to external data sources, so a drawing reflects the current state of a process, an inventory or a team instead of a snapshot from the day it was made.

How it is used in everyday work

Most work starts from a template rather than a blank page. An IT administrator opens the detailed network or rack template, places servers, switches and patch panels, and binds each shape to a row of an inventory workbook so that host names and asset numbers appear on the drawing. A process analyst uses the cross-functional flowchart, arranges steps in swimlanes for each department, and runs the validation check before sending the diagram out for review.

Development teams rely on the UML templates for class, sequence, activity and deployment diagrams. They use the database notations Crow's Foot, Chen, IDEF1X and UML to sketch data models before anything is built. Facility planners and engineers import an existing AutoCAD drawing as a scaled background and draw floor plans or schematics on top of it. When a file is stored on OneDrive for Business or SharePoint, several colleagues can edit it at once, which suits teams that maintain documentation together.

The functions that make a practical difference

Data Visualizer is the feature many buyers choose this edition for. You enter process steps or reporting lines in a prepared workbook, and Visio generates the flowchart or org chart, including connectors and swimlanes. Data linking works in the other direction. It attaches existing drawings to Excel, Access, SQL Server or SharePoint lists, and data graphics then display values as text, icons or colour fills on the shapes themselves.

For process modelling, the software supports BPMN 2.0 and checks diagrams against BPMN or flowchart rules, flagging problems such as unconnected shapes. Subprocesses split a large process across linked pages, which keeps each page readable. Comments and simultaneous editing replace the habit of mailing copies around. The improved AutoCAD import in this release accepts drawings saved in AutoCAD 2017 and earlier.

Choosing the right edition

Visio Standard 2019 suits users who draw flowcharts, organisation charts, brainstorming maps and basic office or network layouts and have no need for external data. The Professional edition adds the engineering, software and detailed IT templates, data linking, Data Visualizer, process validation, subprocesses and co-authoring, which makes it the better fit for IT departments, process managers, developers and engineers. Microsoft also sells Visio as a subscription: Visio Plan 1 runs only in the browser, while Visio Plan 2 combines the web version with the current desktop program. Visio Professional 2021 and 2024 are the later perpetual successors.

Practical limits worth knowing before you buy

Visio is not part of any Office 2019 suite, so it must be purchased separately even when Office is already installed. As a perpetual release it received fixes but no new features after launch. Microsoft ended support for the entire 2019 generation on 14 October 2025, which means no further security updates are published. Organisations with strict patch policies should take this into account. Co-authoring requires files to be stored in OneDrive for Business or SharePoint, not on a local drive, and Data Visualizer works with Microsoft's own workbook templates.
