Plans are saved in the MPP format also used by Project 2016 and 2019, so files move between these versions without conversion.

The central task is scheduling. You enter tasks, durations and dependencies, and the software calculates dates, marks the tasks that drive the finish date and recalculates the whole plan when one of them slips. The Professional edition extends that logic to the workforce, and in organisations running Project Server or Project Online it can publish plans to a central environment where resource requests and timesheets are managed.

How it is used in everyday work

A typical session starts in the Gantt Chart view. A planner imports a task list from Excel or builds the work breakdown directly, indents tasks into phases, links them and saves a baseline once the plan has been approved. After that, the weekly routine consists of entering actual progress, comparing it with the baseline and deciding how to respond when the forecast finish date moves.

The edition pays off wherever people and budgets are shared: engineering and construction firms, IT departments running rollouts, agencies handling parallel client projects and PMOs that report to management. A department lead might open the Team Planner on Monday, see each person's assignments as horizontal bars, drag an unassigned task onto someone with free capacity and then print a cost report for the steering meeting.

The functions that make a practical difference

The critical path display shows which chain of tasks determines the end date, so attention goes to the work that actually moves the deadline. Up to eleven baselines can be stored per plan, which lets you compare the current forecast with the original commitment and with later approved revisions. Resource leveling resolves overallocations by delaying or splitting work according to rules you define, rather than forcing manual date changes.

The Team Planner, available only in Professional, shows assignments person by person and suits managers who think in terms of staff rather than task lists. Built-in reports such as burndown, cost overview and resource overview can be edited like Office charts and copied into presentations. For larger programmes, master projects combine several subprojects, and a shared resource pool lets multiple plans draw on one staff list, so conflicts become visible across projects instead of staying hidden inside a single file.

Choosing the right edition

Project Standard 2021 covers single-user scheduling with tasks, dependencies, baselines, timelines and reports. Professional adds the Team Planner, cross-project resource management and timesheet submission, the latter two in combination with Project Server or Project Online. A freelancer, or a manager who plans one project at a time with a small team, will usually find Standard sufficient. Once several managers draw on the same staff, or the company already runs Project Server or intends to connect to Project Online, Professional is the edition that fits. Microsoft also sells Project as cloud plans, which form a separate product line with a different working model.

Practical limits worth knowing before you buy

The enterprise functions are not self-contained. Timesheets, central resource requests and publishing to a shared portfolio require an existing Project Server installation or a Project Online environment, and neither is part of this purchase. Microsoft provides no free viewer for MPP files, so colleagues without Project usually receive plans as PDF, printed reports or exported Excel data. As a perpetual release, the 2021 version receives fixes rather than new features, and it does not include Project for the web.
